How to Write a Professional Cleaning Quote (With Template)

7 min read14 April 2026

Sending a professional cleaning quote is one of the simplest ways to win more clients and charge what you're actually worth. Yet most self-employed cleaners still quote verbally over the phone — and then wonder why clients push back on the price or disappear entirely.

A written quote does several things at once: it shows the client exactly what they're getting, it protects you if there's a dispute later, and it makes you look like a proper business rather than someone doing cash-in-hand work. This guide covers what every cleaning quote should include, how to structure it, and how to send one in under 60 seconds using GoClean Pricing.

What should a cleaning quote include?

A good cleaning quote doesn't need to be a formal document — it just needs to be clear. At minimum, it should cover the job scope (what rooms, what tasks), the total price, whether VAT is included, and any terms around cancellation or rescheduling. According to Citizens Advice, a written quote is legally binding once accepted, which is another good reason to put it in writing rather than just saying a number over the phone.

A professional cleaning quote should include:

  • Your business name and contact details
  • The client's name and address
  • Date of the quote and an expiry date (e.g. valid for 14 days)
  • A clear breakdown of what's included (rooms, tasks, extras)
  • The total price — and whether VAT is included or added on top
  • Your cancellation or rescheduling policy
  • A way for the client to accept (reply, sign, or click)

How to price the job before you quote

Before you can write the quote, you need to know what to charge. If you're still guessing based on gut feel or what a friend told you, read our full guide on how to price cleaning jobs in the UK — it covers hourly vs. fixed pricing, how to factor in supplies and travel, and what the going rates are for different property sizes in 2026.

The short version: most domestic cleaners in the UK charge between £15 and £25 per hour depending on location, with deep cleans typically priced at a fixed rate per property size. Once you know your rate, you can calculate the total and build the quote around it.

Do you need to add VAT?

Only if you're VAT-registered — and most sole trader cleaners aren't, unless their annual turnover exceeds the current threshold of £90,000 (as of 2024/25, per HMRC). If you're not VAT-registered, don't add VAT to your quotes — it's not just unnecessary, it's actually illegal to charge VAT if you're not registered. If you are registered, you must show the VAT amount separately on the quote.

A simple cleaning quote template

Here's a basic template you can adapt. Keep it simple — clients don't want to read an essay, they want to know what they're getting and how much it costs.
